Privacy Policy
Effective date: September 29, 2026
This Privacy Policy describes how the Western Province of Kappa Alpha Psi Fraternity, Inc. ("Western Province," "we," "us," or "our") collects, uses, and protects personal information through wp1911.com, Province forms and registrations, and the Western Province Member and Event Updates SMS program. It applies to information we receive and control, including information submitted through a service acting on our behalf.
1 Information we collect
Depending on your interaction with us, information may include:
- Contact information: Your name, email address, telephone number, and mailing or event address.
- Fraternity and program information: Chapter or organization affiliation, membership number, membership status, program interests, and registration details that you provide.
- Requests and transactions: Event details, engagement requests, correspondence, support inquiries, registration status, payment amounts, and transaction references. Payment providers may collect payment details under their own privacy notices.
- Messaging information: Mobile number, SMS consent status, the date and source of your opt-in, the disclosure you agreed to, message delivery records, replies, and opt-out requests.
- Website usage information: IP address, browser and device information, pages visited, approximate location inferred from an IP address, and information collected through cookies or similar technologies.
We receive information directly from you, from forms and services you use to interact with us, and, where appropriate, from authorized fraternity representatives for Province administration. Receiving a number from a chapter or a membership record does not establish SMS consent.
2 How we use information
We use information to respond to inquiries and Polemarch engagement requests; administer memberships and Province activities; process registrations and related transactions; communicate about meetings and events; maintain records; provide support; protect the website against misuse; and meet legal obligations. We also use website usage information to understand and improve the website. We send SMS only when you have consented to the relevant messaging purpose.
3 Mobile information and SMS consent
We do not sell, rent, trade, or share mobile phone numbers, SMS opt-in data, or text messaging consent with third parties or affiliates for marketing or promotional purposes. We do not provide personal information to outside organizations for their own marketing.
Administrative disclosures to fraternity offices, officers, committees, and chapters described in this Policy exclude SMS opt-in data and messaging consent. We do not transfer your consent to International Headquarters, individual chapters, sponsors, partners, or another sender for their own messaging. Each separate sender must obtain its own consent.
Providers working solely on our behalf may process the limited information needed to deliver messages, provide support, and manage opt-outs. They are not authorized to use that information for their own marketing or to pass your consent to another organization. We maintain consent and opt-out records to administer the program and document your choices.
The Western Province Member and Event Updates program provides recurring informational member notices and event updates. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. You may also contact it.services@kapsi-western.org. SMS enrollment is optional and is not a condition of purchase, membership, registration, or participation. See our Terms and Conditions for the full program terms.
4 When we disclose information
Subject to the SMS protections above, we may disclose information to providers that support website hosting, forms, registration, payment processing, communications, and administration. They receive information needed for their work on our behalf.
We may provide relevant membership or event information to authorized Province officers, committees, fraternity offices, or chapters for administration of the activity involved. This does not authorize those recipients to use your number for their own SMS campaigns. We may also disclose information when legally required, to address fraud or security concerns, or when you direct us to make a particular disclosure. We do not sell personal information.
5 Cookies embedded services and browser controls
The website and embedded providers may use cookies or similar technologies for website operation, preferences, usage measurement, and security. Embedded forms, calendars, media, and external services may collect information according to their own notices, including activity over time and across websites. You can manage cookies through your browser settings; limiting cookies may affect website features.
The website does not currently respond to browser Do Not Track signals. Any privacy preference signals that applicable law requires us to recognize will be handled as required by that law.
6 Your choices and privacy requests
You can decline optional information and SMS enrollment, unsubscribe from email updates using any provided unsubscribe link, and stop texts by replying STOP. An email unsubscribe does not automatically change your SMS preference, and an SMS opt-out does not cancel an event registration or membership.
To ask about your information or request access, correction, or deletion, contact it.services@kapsi-western.org. Where applicable law provides privacy rights, we honor those rights subject to legal exceptions and reasonable identity verification. Some records may need to be retained for legal, accounting, security, or membership administration purposes. We retain the minimum opt-out information needed to avoid contacting a number that has unsubscribed.
7 Retention and security
We retain information for as long as reasonably needed for the purposes described in this Policy, including administration, recordkeeping, legal obligations, and documenting communication preferences. We use reasonable administrative and technical safeguards and limit access to people and providers with a relevant operational need. No website, storage system, or transmission method can be guaranteed completely secure.
8 Youth programs and children
The Western Province provides information about youth activities, including Kappa League programs. Those activities may have separate registration notices and parent or guardian consent requirements. Our SMS program is for adult subscribers; parents or guardians should use their own numbers for youth program communications.
We do not knowingly collect personal information online from children under 13 without the parent or guardian authorization required by applicable law. If you believe a child has submitted information without required authorization, contact us so we can review it and take appropriate action. Parents and guardians may contact us about a child's information.
9 External websites and other organizations
Independent ticketing, payment, form, hotel, app, chapter, or fraternity websites may have separate privacy practices. This Policy explains our handling of information we receive; it does not replace the privacy notices of independent operators. Review their notices when you use their services.
10 Policy updates
We may update this Policy by posting the revised version and changing its effective date. We provide additional notice or obtain consent when required by law. A policy update does not change an existing SMS opt-out or permit another organization to use your messaging consent.
